Post Outline:
Accurately record all day-to-day financial transactions. Track company spending against set budgets and project budgets. Ensure dates are kept for legal compliance for accounting process and submissions. Create financial and statistical reports.

Terms:
Freelance Part-time. 6 hours per week. £13 per hour
Some flexible working is needed and expected.
Home working is possible.

Responsible to :
Artistic Director (AD)

Working Relationships:

1. Direct and day-to-day responsibility to the Development Manager & Artistic Director
2. Close working relationship with all Fusion permanent, freelance staff & project partners.
3. Regular contact with Fusion’s Treasurer

Key Tasks:

1. Work with Artistic Director and staff to ensure Fusion’s finances are well managed and appropriate financial procedures are observed
2. To regularly send financial reports to AD as and when requested
3. To manage bookkeeping, preparing and maintaining all financial records & systems as required by the Artistic Director and for the efficient operation of the company, including among others as required:
a. Handling purchase and sales invoices
b. Dealing with financial paperwork and filing
c. Balancing accounts
d. Checking company bank statements
e. Administering payments and income receipts
f. Receiving and accounting for workshop and room rental etc., payments
g. Managing the bank accounts
h. Liaising with payroll service
i. Managing petty cash expenditure
j. Banking cash and cheques regularly
k. Management accounts
4. Entering all financial transactions to the accounts system (Quickbooks)
5. To liaise with the Treasurer prior to Board meetings when necessary
6. Applying for gift aid, when necessary
7. Liaise with the external accountants and AD to prepare annual accounting statement
8. To prepare, in liaison with the AD, the annual budget for approval by the Board
9. To be responsible for the preparation, maintenance and management of all financial records & systems relating to external project/community based activities
10. To provide project financial information to colleagues as required, to facilitate management of projects within budget.

Other:
1. Undertake basic office administration if required, including the maintenance of an accurate information base.
2. To help with database management and statistical data capture reports when there is time
3. The duties of the post may vary from time to time without changing the general character or the level of the responsibility entailed.
4. Attend annual review interview
5. Adhere to and regularly update yourself with Staff Handbook / policy documents

Person Specification:

Essential-
Of working in a finance and administration role
Of producing management accounts using Excel
Data entry skills
Hands-on experience with spreadsheets and small office accounting packages
Microsoft Office
Online Banking
Proficiency in English
Of financial accounting procedures
A high level of computer literacy
Highly numerate
Ability to set targets and monitor progress
Attention to detail
Ability to work on own initiative and as part of a small team
Discretion and keeping to confidentiality agreements

Desirable-
Of working in participatory arts/community arts environment
Of taking minutes at meetings
Knowledge of Gift Aid
Of using Quickbooks
Of managing restricted-purpose funds

Knowledge of the arts funding system / ACE/ Local authority structures
Basic understanding of Data Protection and the Independent Commissioners Office (ICO)
Of charity accounting requirements
