Modern Art Oxford is looking to hire a passionate and proactive Retail Manager to work with the Commercial Manager to oversee all aspects of Modern Art Oxford’s Shop including product research, ordering stock, visual merchandising and sales. To provide exceptional customer service to all visitors, in person, on the telephone and email, actively promoting Modern Art Oxford’s exhibition, event and education programme alongside all commercial and fundraising activities.
Working with the Commercial Manager, the Retail Manager will oversee all aspects of Modern Art Oxford’s Shop including product research, ordering stock, visual merchandising and sales, and to develop the gallery’s online shop with the Commerial Manager.

KEY RESPONSIBILITIES
Shop:
- Product Range.
- Working with the Commercial Manager to research and source, develop and introduce product ranges that support MAO’s brand and the creative programme.
- Keep abreast of market trends within the cultural arts industry.
- Attend trade fairs on behalf of MAO to research and source potential suppliers.
Ecommerce:
- Manage the content of the ecommerce shop ensuring it is up to date, adding and removing products as necessary.
- Fulfill and dispatch internet orders in an efficient way.
- Manage reconciliation of internet orders.
- Respond to all email enquiries timely and efficiently.
- Work with the Commercial Manager and Digital & Communications team to promote and sell across the Gallery’s social media platforms.
Financial Management:
- Agree sales targets on a quarterly and annual basis with the Commercial Manager.
- Liaise with the Finance Manager to carry out all shop financial administration including.
- cashing up, arranging change floats and processing different methods of payments.
- such as credit cards, PayPal ensuring that MAO policies and procedures are followed.
- Attend monthly meetings with the Commercial Manager to review commercial performance and discuss forthcoming plans and activities.
Stock management:
- Monitor and control stock expenditure ensuring sales and profitability are maximized.
- Place orders with suppliers; check deliveries, invoices and returns are correct.
- Optimise supplier base to ensure stability, reliability and timely production and delivery.
- Ensure that all stock is entered onto the stock management system.
- Record internal purchases by departments and liaise with the Finance Manager for charging back.
- Conduct regular stock checks including full end of year and report shrinkage to the Commercial Manager.
Staff management:
- Line manages the Shop Assistant.
- In liaison with the Commercial Manager, recruit, and train new staff as necessary.
- Motivate staff team to increase sales and maximize efficiency.
- Prepare and keep up to date the Shop User Manual.
Presentation, Branding, Marketing and Promotion:
- Ensure shop layout, design, and presentation (visual merchandising) standards are of a consistently high level at all times.
- Work with the Commercial Manager to ensure shop displays are changed regularly to keep the shop looking fresh and appropriate to each exhibition.
- In liaison with the Development team, promote the Friends membership in the shop including using special offers and promotions.
General:
- Maintain all Shop equipment, with support from the Duty Managers and staff.
- Ensure that all risk assessments for the Shop are carried out and reviewed with the Commercial Manager.
- Support the Commercial Manager to ensure that the Safety Policy is always adhered to.
- To act as a Fire Marshall and assist the Duty Manager with emergency procedures.
- To ensure that the shop is always accessible to wheelchair and pushchair users.
PERSON SPECIFICATION
Essential skills and experience:
- At least two years’ experience of working in a retail environment at a management level.
- Evidence of visual merchandising and display skills.
- Excellent customer service skills with a strong sales focus.
- Excellent communication skills, experience of telephone and email enquiries.
- Strong organisational skills and ability to priorities duties.
- Evidenced experience of managing an online shop.
- Excellent computer competencies, preferably on Apple computers.
- EPOS till systems.
Desirable skills and experience:
- Experience of working in a gallery environment.
- InDesign, Canva or Photoshop experience.
- Experience of using social media for marketing.
